Terms of Service

A plain-language draft of the terms for using Hearback. It should be reviewed by the operator's own advisers before launch.

What Hearback is

Hearback is software that lets renters keep one Tenant Passport and lets letting agents and auctioneers manage applications on a shared pipeline. Hearback is not a letting agent, does not hold deposits, and takes no part in deciding who is offered a tenancy.

If you are a renter

Everything you put in your passport must be true and yours to share. Applying to a listing grants that firm 30 days of access to your passport; you can revoke it at any time. You can withdraw an application whenever you like.

If you are a firm

You are responsible for your own regulatory obligations, including your PSRA licence details, equal treatment of applicants, and the accuracy of your advertisements. Passport information may only be used to assess the application it was shared for, and must not be copied elsewhere or shared with third parties.

Automated checks

Document checks are assistive only. They can pass a document or flag it with a note; they never score or reject an applicant. The letting decision is always the firm's.

Availability and changes

We may update the service and these terms. We will keep this page current, and continuing to use Hearback means accepting the terms as published here. Questions go to the contact page.
